SEEKING A STELLAR ADMINISTRATIVE ASSISTANT
As the Administrative Assistant for the Program Management Team, you’ll be the cornerstone of our organizational efficiency. You will play a critical role in ensuring that our executive leaders and campaign management teams are well-supported and their initiatives run smoothly. Your organizational prowess and proactive mindset will ensure smooth task coordination and enable the team to achieve its goals efficiently.

YOUR ROLE & IMPACT:
- Manage internal and client-based tasks, timelines, and priorities within project management platforms (e.g., ClickUp), ensuring tasks are clearly documented, visible to relevant stakeholders, and aligned with team objectives.
- Maintain and update task lists for the Director of Project Management and SEVP of Program Management, prioritizing critical items and monitoring progress to meet deadlines.
- Oversee and coordinate schedules, including managing calendars, scheduling team and client meetings, and ensuring availability for key personnel across the project management team.
- Monitor and manage inboxes, flagging high-priority communications, drafting responses, and integrating action items into ClickUp.
- Draft client reports with a focus on accuracy and clear presentation.
- Maintain meeting notes, client documentation, and internal files for easy access.
- Assist with onboarding new clients, including setting up necessary accounts, workflows, and project management systems.
- Undertake other tasks as needed to support the team and enhance team productivity.
WHAT YOU’LL NEED:
- At least 1-2 years of experience in an administrative or project support role.
- Proficiency in Microsoft 365 Suite, Google Suite, and familiarity with project management tools.
- A proactive mindset with the ability to manage shifting priorities effectively.
- Exceptional organizational and multitasking abilities.
- Strong verbal and written communication abilities
